Role Summary

Atomic Trips is hiring a dependable, organized person to become a trip director. You would start with our team in Las Vegas, helping prepare our international group trips: coordinating vendors, keeping budgets and details straight, supporting travelers, and learning the systems behind every departure.

Then you travel. Once you are trained, you go to Europe with our groups and help run them on the ground, working alongside the trip director, the drivers, hotels, restaurants, guides and the travelers themselves, keeping each day organized and on schedule. Ireland, Italy, France, England and Scotland are where our trips go, and being on those departures is the job, not a perk attached to it.

This suits someone calm, organized, good with people, and able to solve a problem in real time in front of a group. We will teach you our software and our systems. What we cannot teach is showing up, paying attention, and caring how the day goes for forty people.

Compensation

We discuss pay directly with you during the interview process, once we both know the shape of the role you would be stepping into. Required business travel expenses are covered separately, and are never taken out of your pay.

What You Would Do

  • Support vendor outreach, confirmations, and follow-up, and help track quotes, deadlines, and service details
  • Assist with trip budgets and cost tracking
  • Review itineraries for accuracy and timing, and prepare run sheets and traveler materials
  • Support traveler onboarding and pre-trip communication, including traveler calls
  • Help operate trips on the ground: timing, head counts, transitions, arrivals, rooming, meals, and transportation
  • Support travelers with questions and minor issues, and escalate serious matters appropriately
  • Keep records, notes, and systems organized, and complete post-trip follow-up
  • Grow into leading full trip days and eventually entire trips

Ideal Candidate

  • Dependable, punctual, and organized
  • Calm under pressure, clear in communication, and comfortable in front of a group
  • Genuinely proficient with computers and software in general, and quick to pick up a new tool
  • Some understanding of spreadsheets, or of managing vendors and their deadlines
  • Polished, professional, and able to represent Atomic Trips well
  • Wants to travel to Europe for work, repeatedly, and understands that a travel day is a work day
  • Able to work independently after training, and interested in growing into a trip director

An associate's degree or above is preferred. College experience is something we look for and value, though it is not a requirement, and we would rather have the right person without it than the wrong person with it.

What Helps, But We Will Teach You

None of the following will rule you out, and you should apply whether or not any of it describes you. Each one is a genuine advantage, so if you have it, tell us.

  • Experience in QuickBooks, or in Excel or Google Sheets beyond the basics
  • Bookkeeping, accounts payable or receivable, reconciliations, or month-end close
  • Managing vendors, quotes, invoices, or purchase orders
  • Having led, hosted, or been responsible for a group of ten or more people
  • Having traveled internationally yourself

Required Qualifications

  • At least 18 years old and legally authorized to work in the United States
  • Living in the Las Vegas Valley, or ready to move here, and able to work and train in person
  • A valid passport, or able to obtain one promptly, and genuinely able to leave the country for a week or two at a time
  • Able to take part in in-person training in Las Vegas
  • A flexible schedule, including some weekends, mornings, evenings, and travel assignments
  • Able to communicate clearly in English and use a smartphone and computer confidently
  • Able to pass any lawful background or reference checks required for the role

There is one path here and it is a short one. You start as our Travel Operations Assistant, you learn how a departure is built and run, and you grow into directing trips of your own. We look at every role one year at a time, and we would rather grow a trip director from inside the team than hire one in.
