Payment Authorization & Billing Agreement
By booking with Atomic Trips, travelers acknowledge and agree to the payment terms, billing authorizations, and financial responsibilities outlined below.
Payment Responsibility
Travelers are responsible for all payments, balances, fees, installments, and financial obligations associated with their booking.
Booking a trip with Atomic Trips creates a financial commitment for the selected travel experience and reserves space, accommodations, vendor commitments, operational planning, and group travel logistics associated with the traveler’s participation.
Travelers agree to make all required payments according to the selected payment schedule, invoice terms, installment plan, or billing agreement associated with their booking.
Payment Processing Platforms
Atomic Trips may utilize third-party payment processing platforms, invoicing systems, customer relationship management tools, booking systems, or financial technology providers to facilitate traveler payments, invoices, installment plans, operational communications, and booking management.
These platforms may include services such as HoneyBook and other authorized payment or operational providers selected by Atomic Trips.
Travelers acknowledge and agree that:
- Certain payment functions, invoices, billing schedules, reminders, agreements, and operational communications may be facilitated through third-party platforms
- Third-party platforms operate independently and may maintain their own terms, privacy practices, processing systems, security protocols, and operational standards
- Temporary outages, technical issues, processing delays, notification failures, or platform errors may occasionally occur outside the direct control of Atomic Trips
- Travelers remain responsible for monitoring invoices, payment schedules, account communications, and booking obligations regardless of third-party platform interruptions or notification issues
Atomic Trips is not responsible for independent third-party platform outages, banking delays, card issuer restrictions, technical interruptions, or failures caused by external payment providers or technology systems.
Travelers remain responsible for ensuring successful payment completion and maintaining valid payment methods throughout their booking and payment schedule.
Authorization to Charge Payment Methods
By submitting payment information to Atomic Trips or its payment processors, travelers authorize Atomic Trips and its authorized payment providers to:
- Charge the payment method provided
- Process deposits and installment payments
- Process remaining balances owed
- Process approved trip-related charges
- Retry failed or declined payments when reasonably appropriate
- Collect balances associated with agreed booking obligations
This authorization applies to:
- Debit cards
- Credit cards
- Bank payments
- Payment plans
- Authorized recurring installment arrangements
- Approved manual payment agreements
Travelers confirm that they are authorized to use the payment method submitted and that all billing information provided is accurate and current.
Payment Plans & Installments
Certain Atomic Trips experiences may offer installment payment plans or recurring billing arrangements.
Travelers acknowledge that:
- Payment plans are financial commitments associated with reserving trip space and operational planning
- Installment due dates must be followed according to the agreed billing schedule
- Failure to complete installment payments may impact booking status, trip participation, accommodations, or traveler eligibility
- Missed, failed, disputed, reversed, or declined payments may result in additional administrative actions, booking cancellation, loss of reservation, or collection efforts where permitted
Travelers are responsible for ensuring sufficient funds and valid payment methods remain available throughout the payment schedule.
Pricing, Currency & Supplier Costs
Travel pricing may include coordination with independent third-party suppliers, accommodations, transportation providers, activity operators, and destination vendors.
Travelers acknowledge that:
- Certain pricing elements may fluctuate due to supplier costs, taxes, currency exchange rates, fuel surcharges, government fees, or operational conditions
- Additional optional upgrades, add-ons, excursions, private rooms, or traveler-requested changes may create additional charges
- International transaction fees, bank fees, exchange rate differences, or card issuer fees may apply depending on the traveler’s financial institution
Atomic Trips is not responsible for fees imposed by banks, payment providers, or financial institutions.
Chargebacks & Payment Disputes
Travelers agree to contact Atomic Trips directly to attempt good-faith resolution of billing concerns, operational disputes, payment questions, or service issues before initiating chargebacks, payment reversals, or banking disputes when reasonably possible.
Travelers acknowledge that:
- Booking records, onboarding records, communications, payment authorizations, operational logs, electronic acknowledgments, and traveler agreements may be used to respond to payment disputes or chargeback claims
- Initiating fraudulent, abusive, or bad-faith chargebacks may impact traveler participation, future booking eligibility, or collection actions where permitted by law
- Certain disputes may involve nonrefundable operational costs already committed to third-party suppliers or vendors
Nothing in this section limits any non-waivable consumer rights provided by applicable law.
Refunds & Cancellation Policies
Refund eligibility, cancellation terms, credits, and booking modifications are governed separately by the Atomic Trips Cancellation & Refund Policy and the Atomic Trips Terms of Service.
Travelers acknowledge that:
- Payments may become partially or fully nonrefundable according to applicable policies
- Operational planning and supplier commitments often begin immediately after booking
- Certain third-party supplier payments may be irreversible once committed
Travelers are responsible for reviewing cancellation and refund policies before completing booking.
Traveler Responsibility for Booking Accuracy
Travelers are responsible for reviewing and confirming:
- Payment schedules
- Invoice accuracy
- Trip selections
- Traveler information
- Billing details
- Installment timelines
- Booking confirmations
- Currency and pricing details
Travelers are expected to report billing discrepancies, payment issues, or booking concerns promptly through Atomic Trips support channels.
Relationship to Terms of Service
This Payment Authorization & Billing Agreement is intended to supplement the Atomic Trips Terms of Service and related traveler policies.
In the event of any conflict, inconsistency, operational necessity, or interpretation issue between this agreement and the Atomic Trips Terms of Service, the Atomic Trips Terms of Service shall control and prevail to the fullest extent permitted.
Traveler Acknowledgment
By proceeding with booking, travelers acknowledge and agree that:
- They are financially responsible for their booking obligations
- They authorize approved charges and installment billing associated with their booking
- Payment plans create binding financial obligations subject to applicable policies
- Chargebacks and payment disputes should first be addressed with Atomic Trips when reasonably possible
- Refund eligibility is governed by separate cancellation and refund policies
- Travelers remain responsible for reviewing payment schedules, invoices, and billing details
- The Atomic Trips Terms of Service remain the primary governing agreement for all bookings and traveler relationships
By proceeding with payment, travelers acknowledge and agree to this Payment Authorization & Billing Agreement in addition to the Atomic Trips Terms of Service.
