Travel Insurance Policy & Acknowledgment

At Atomic Trips, we strongly recommend that all travelers purchase comprehensive travel insurance prior to departure. International and group travel can involve unexpected situations including trip interruptions, cancellations, medical emergencies, travel delays, lost baggage, accommodation changes, illness-related room changes, weather disruptions, and supplier-related changes.

While travel insurance is not mandatory to travel with Atomic Trips, travelers acknowledge that choosing to travel without appropriate coverage may limit the level of assistance, flexibility, accommodations, or operational support available in certain situations where lack of coverage could impact the quality, safety, or feasibility of travel-related solutions during the trip.


Recommended Coverage

Atomic Trips strongly recommends that travelers purchase travel insurance coverage that may include:

  • Trip cancellation coverage
  • Cancel For Any Reason (“CFAR”) coverage when available
  • Trip interruption coverage
  • Medical coverage
  • Emergency medical transportation
  • Travel delay coverage
  • Lost or delayed baggage coverage
  • Accommodation change coverage
  • Illness-related accommodation coverage
  • Weather disruption coverage
  • Supplier interruption coverage

Travelers are strongly encouraged to maintain a minimum of $10,000 USD in travel-related coverage where applicable under their selected policy.

Travelers are solely responsible for reviewing, selecting, purchasing, understanding, and maintaining their own travel insurance policy and coverage levels.


Traveler Responsibility

Atomic Trips is not an insurance provider, insurance broker, or insurance advisor.

Atomic Trips does not:

  • Recommend specific insurance providers
  • Recommend specific insurance policies
  • Guarantee policy suitability
  • Interpret insurance coverage
  • Guarantee reimbursement eligibility
  • Provide insurance-related legal or financial advice

The decision regarding which travel insurance provider, policy, or coverage options to purchase is solely the responsibility of the traveler.

Travelers are responsible for understanding:

  • Their policy coverage
  • Coverage limitations
  • Exclusions
  • Deductibles
  • Claims procedures
  • Coverage requirements
  • Reimbursement eligibility

All reimbursement decisions and claim determinations are made solely by the traveler’s insurance provider according to the traveler’s policy terms.


Illness During Travel & Shared Accommodations

This section applies specifically to travelers who selected shared accommodations or roommate-based lodging arrangements.

If a traveler sharing accommodations becomes ill during the trip and roommate reassignment or separate accommodations become necessary for health, safety, operational, or roommate-comfort reasons, additional accommodation costs may become the responsibility of the traveler experiencing illness.

When operationally possible:

  • Atomic Trips may assist with room reassignment or separate accommodations
  • Additional room costs will be billed at the direct nightly hotel or accommodation rate only
  • No additional Atomic Trips service fees will be added for illness-related room changes
  • Room availability is not guaranteed and depends on hotel capacity and operational limitations

Travelers may be required to seek evaluation from a local medical provider and provide documentation or a doctor’s note if requested by the Atomic Trips team.

Travelers may submit eligible accommodation expenses and related costs to their travel insurance provider for potential reimbursement subject to their policy terms.


Operational Flexibility & Travel Disruptions

Travelers understand that itineraries, accommodations, transportation, activities, and operational plans may occasionally change due to:

  • Weather
  • Safety concerns
  • Supplier issues
  • Government restrictions
  • Operational logistics
  • Local conditions
  • Medical situations
  • Force majeure events

Travel insurance may assist with eligible reimbursements related to certain covered disruptions depending on the traveler’s selected policy.


No Guarantee of Reimbursement

Atomic Trips does not guarantee reimbursement, compensation, insurance claim approval, or coverage eligibility for any travel-related event, disruption, illness, cancellation, delay, accommodation expense, or operational change.

Coverage determinations and reimbursement decisions are made solely by the traveler’s insurance provider according to the traveler’s individual policy terms.


Insurance Documentation Assistance

When reasonably possible, Atomic Trips may assist travelers by providing:

  • Accommodation invoices
  • Room reassignment documentation
  • Operational records
  • Travel confirmations
  • Supporting documentation related to eligible travel insurance claims

However, Atomic Trips is not responsible for:

  • Claim approvals
  • Claim denials
  • Insurance provider decisions
  • Policy interpretation
  • Communication between travelers and insurance providers
  • Insurance reimbursement timelines

Relationship to Terms of Service

This Travel Insurance Policy is intended to supplement the Atomic Trips Terms of Service and related traveler policies.

In the event of any conflict, inconsistency, operational necessity, or interpretation issue between this policy and the Atomic Trips Terms of Service, the Atomic Trips Terms of Service shall control and prevail to the fullest extent permitted.

Atomic Trips reserves the right to make operational decisions, accommodations, and traveler-management determinations based on safety, logistics, supplier limitations, traveler conduct, and the overall operational needs of the trip.


Traveler Acknowledgment

By booking with Atomic Trips, travelers acknowledge that:

  • Travel insurance has been strongly recommended prior to travel
  • Travel involves inherent risks and unexpected events
  • Travelers are financially responsible for costs not covered by insurance
  • Atomic Trips is not an insurance provider or insurance advisor
  • Coverage decisions and reimbursements are determined solely by the traveler’s insurance provider
  • Shared accommodation illness-related room changes may create additional traveler expenses
  • The Atomic Trips Terms of Service remain the primary governing agreement for all bookings and traveler relationships

By proceeding with booking, travelers acknowledge and agree to this Travel Insurance Policy in addition to the Atomic Trips Terms of Service.
