Contractor Onboarding & Work Standards Guide

 These standards are part of your working relationship with the company and must be followed at all times.


1. Time Tracking (Hubstaff)

Atomic Trips uses Hubstaff to track all working hours.

You are required to:

  • Install Hubstaff on your computer

  • Track all work time accurately while performing tasks

  • Ensure your time entries reflect actual work completed

  • Maintain strong productivity while tracking time

Only hours recorded in Hubstaff will be considered for payment.

You will be trained on how to properly use Hubstaff, including how to review your tracked time and performance metrics.


2. Work Email & File Management

You will be provided with a company Gmail account to use for all work-related activities.

You are required to:

  • Use your assigned work email for all communication and system access

  • Store all files, documents, and materials within Google Drive

  • Keep files organized, clearly labeled, and easy to locate

  • Follow any folder structures or systems provided by the Company

You are not permitted to:

  • Download and store company files on your personal computer

  • Save documents outside of approved company systems

  • Use personal email accounts for company work

All work must remain within Company-controlled systems.


3. Data Protection & Sensitive Information

Protecting customer information is critical.

You are strictly prohibited from:

  • Collecting or storing copies of passports, IDs, or sensitive personal documents

  • Saving customer personal data outside of approved systems

  • Retaining any sensitive information beyond what is necessary for immediate use

If sensitive information is temporarily accessed:

  • It must only be used within approved systems

  • It must not be downloaded or stored locally

  • It must be deleted or cleared when no longer needed

Failure to follow these guidelines may result in immediate termination.


4. Systems & Tools Usage

You will be trained on and expected to use the following tools:

  • CRM system

  • Hubstaff

  • Spiffy (for checkouts and payment links)

  • Communication tools (calls, SMS, messaging platforms)

You are responsible for:

  • Learning each system

  • Using tools correctly and efficiently

  • Maintaining accurate and up-to-date records

Proper system use is a core part of your performance.


5. Invoicing & Payment Process

To receive payment, you must submit the following:

  1. Invoice

    • Your name

    • Billing period

    • Total hours worked

    • Hourly rate

    • Total amount due

  2. Hubstaff Report

    • A copy of your tracked hours

    • Must match your invoice

    • Must include visible productivity/performance metrics

All payment submissions must be sent to:

Rei via WhatsApp 

Rei is responsible for:

  • Reviewing submissions

  • Processing payments

  • Marking vendors as paid within internal systems

Incomplete submissions may delay payment.


6. General Expectations

You are expected to:

  • Maintain professionalism in all communication

  • Stay organized and detail-oriented

  • Follow all systems and processes provided

  • Take responsibility for your work and performance

Failure to follow these standards may impact your continued engagement with Atomic Trips.

If you are unsure about any process, system, or expectation, you are expected to ask for clarification before proceeding.
