Effective for all Atomic Trips tours departing after October 8, 2025.
Agreement and Contract
All tours are operated outside of the U.S. by M&S Sublets & Services LLC and are referred to as “Atomic” or “Atomic Trips.” Your agreement is with Atomic Trips, and a contract is formed when you make a reservation that we accept. Enrollment and payment constitute acceptance of these terms and conditions. These cannot be varied except in writing by an officer of Atomic Trips.
All contracts are subject to these booking conditions. We may change these conditions at any time before you make a booking. If any provision is invalid, the remaining provisions remain in effect and the invalid provision will be replaced with an enforceable provision as similar as possible.
If there is a conflict between these booking conditions and any brochure, these booking conditions control.
Departure Date
The departure date is the date indicated on the booking confirmation.
Security
Security conditions may change. Travel advisories or events may require changes to accommodations, itineraries, or cancellation. You accept the risks of travel and are responsible for your travel decisions.
Travel Insurance
Travel insurance is highly recommended covering trip interruption, personal injury, medical expenses, evacuation and repatriation, including during pandemic events. Insurer choice is yours. See www.atomictrips.com for current information or speak with your reservation agent. Atomic Trips or affiliates may receive a commission for introductions to a provider.
Atomic is not responsible if you fail to obtain appropriate insurance and will not be liable for costs incurred due to a lack of coverage.
What’s Included in the Program Price
- Hotel accommodations with private bathrooms. Rooms are not shared outside your reservation.
- A Tour Director available 24 hours a day from arrival to departure.
- Breakfast, lunch and dinner daily.
- Sightseeing tours and excursions led by licensed local guides.
- Airport transfers and transportation between destination cities.
- Transportation to all included activities.
- Entrance fees and museum tickets as specified.
- Atomic Trips led walking tours and Tour Director led sightseeing as specified.
- Cruises, trains, or ferries as specified.
- Support from Atomic representatives abroad.
The above apply to all tours unless noted on the itinerary. If we fail to provide any of the above, we will refund you the value upon your return.
What’s Not Included in the Price
- Room upgrades if applicable.
- Excursions not included with our tour packages except where indicated.
- Beverages except where indicated.
- Transportation to non Atomic Trip activities.
- Customary gratuities for Tour Director, drivers, and local guides.
- Porterage.
- Airline baggage handling fees.
- Expenses due to airline rescheduling, cancellations, delays, weather, or events beyond Atomic’s control.
- Passport, visa, and reciprocity fees, or other entry and exit fees.
Group Travel
How it works
To keep prices low without sacrificing quality, we combine groups to fill a tour bus so travelers share the costs of transportation, the Tour Director, and guides. Travelers may not be of the same age level.
Group travel requires flexibility. Atomic’s Standard Cancellation Policy applies once a program is booked. Final itinerary and travel dates are confirmed about two months prior to departure. By enrolling, you agree to travel with the Group Leader, who may change the requested itinerary or dates for the group.
Itinerary adjustments
Depending on travel dates, we may need to modify the order of cities, length of stay, or airports. Holidays may affect inclusions. When necessary we will substitute comparable inclusions or provide alternatives.
Private Groups
You may choose a private group with your own bus and Tour Director for an additional fee based on final group size. If your group fills a standard bus, the private option is free. The itinerary cannot be modified while on tour. Due to flight and hotel availability, the same date flexibility applies. Optional excursions may include other groups. Contact Atomic before your first enrollment if you want a private group.
Enrollment
Atomic incurs non recoverable staffing and planning costs from initial enrollment. Fifteen percent of the per person rate is non refundable and non transferable. All traveler enrollment applications must be received at least 120 days prior to departure.
Name corrections
Provide complete legal names and dates of birth as they appear or will appear on passports. A fee of up to 200 USD may be collected for name correction.
Repeat traveler discount
After completing a first tour, repeat travelers receive a 100 USD discount on future program fees. Travelers who cancel prior to traveling are not eligible. The discount is non refundable, non transferable, and has no cash value.
Travelers under 18
Travelers must be 14 or older. Travelers ages 14 to 17 must have an adult chaperone other than the Group Leader and will room with that chaperone. Family room or twin room options may be available and fees may apply.
Late Enrollments
Travelers may submit a late enrollment request 60 days or fewer prior to departure. You may be placed on a waiting list while we check availability. The traveler is responsible for any additional charges that may apply.
Passports, Visas, Other Travel Documents and Entry Requirements
Each traveler is responsible for obtaining a valid passport, visas, and other required documents, and for meeting all entry and exit requirements. This may include medical documents, testing, or proof of vaccinations. U.S. passports must be valid for at least three months after the return date, and passport information must be provided to Atomic by 60 days prior to departure.
Non U.S. citizens must check embassy or consulate requirements for all countries visited, including transit countries. See travel.state.gov for more information.
If you cannot obtain required documents or meet entry or exit requirements, Atomic’s Standard Cancellation Policy applies and you are responsible for incurred expenses.
Flight delays
Atomic Trips is not responsible for airline changes or flight delays due to mechanical, weather, capacity, or other issues. Contact your Group Leader as soon as possible if delayed. We will make reasonable attempts to assist you. Any costs due to a delay are the traveler’s responsibility.
Health, Mobility, Medical Conditions and Assistance
If you have reduced mobility, a disability, or a medical condition that may affect your arrangements, you may either provide full details to us or share only the activities you cannot participate in. We rely on your assessment of your own ability to participate. Inform us promptly if your condition changes after booking.
Atomic does not provide personal devices or services of a personal nature. Travelers who require such assistance must bring a companion. Accessibility cannot be guaranteed for all cities, accommodations, or coaches. Space for personal devices cannot be guaranteed. Advise us before booking if you plan to bring such a device.
Atomic does not employ medical personnel. Medical attention must be sought at a local facility at the guest’s expense. Care standards vary by country.
Travel times vary. Regular stops are planned. If you are at risk for DVT or other conditions, consult your doctor before traveling.
Special Travel Requests
Atomic can provide stay ahead or stay behind options, alternate departure airport suggestions, and land only information. We cannot guarantee you will fly with your group.
Individual requests
Email individual requests by 120 days prior to departure to hello@atomictrips.com. Do not make independent arrangements until your final itinerary and dates are finalized about 60 days prior. A 150 USD service fee plus any additional air or land costs will be charged.
Types of requests
- Stay ahead or stay behind assistance with flights, hotels, and transportation. Costs are the traveler’s responsibility.
- Alternate departure airports. Travelers are responsible for all flight arrangements and costs. Atomic may suggest options but does not accept responsibility for purchase or selection of flights.
Rooming
Atomic handles final rooming assignments based on VIP assignments, medical needs, group dynamics, hotel or castle requirements, and Group Leader discretion. Submit special requests when making your reservation.
The Atomic App
The Atomic App is required for participation. It is the sole source for hotel assignments, ticketing details, itinerary updates, and essential communications. Atomic operates as a paperless service. All confirmations, tickets, and documents are delivered electronically in the app.
Failure to download and check the app may result in missed updates, delays, or disruptions. Atomic Trips is not responsible for missed information due to failure to use the app.
Billing, Invoices, and Payment Platforms
Atomic uses an invoice management system and a billing website, Spiffy. Your invoice reflects the total cost of your trip, including updates and add ons, and is the most accurate record of amounts paid and due. Review it regularly.
Spiffy facilitates scheduled payments tied to your payment plan. Due to system limits, Spiffy may not reflect the entire invoice. Additional services or charges may be billed separately as stand alone transactions due at the time of billing through Spiffy.
Invoices provide the complete financial picture. Spiffy is primarily a payment gateway. Due to group contracts, itemized receipts for individual components are not issued.
Miscellaneous
Tour start and end
The tour begins upon arrival at the first Atomic hotel and ends upon departure from the last Atomic hotel according to the itinerary.
Lost belongings
Atomic Trips and the Group Leader are not responsible for loss of documents or belongings. Replacement of lost documents is the traveler’s responsibility. If found items are returned after the trip, a service fee applies.
Food allergies
We will inform suppliers where possible but cannot guarantee all requests will be accommodated.
Non refundable fees
Non refundable fees include the 15 percent down payment, manual payment plan fee of 50 to 150 USD, and any late or returned payment fees applied at the time of cancellation.
Itinerary Variations and Holidays
We may improve or vary itineraries and substitute hotels as needed, including operating multiple departures or reverse orders at peak periods. Cruise ships may change for operational reasons. Early and late season departures may operate in cool weather. Activities may vary due to seasonality, weather, or other circumstances including COVID 19 measures. During local or national holidays, certain facilities may be limited. Such changes are not a major change to the itinerary and no compensation is payable.
COVID-19 Guidance
Pack any personal protective equipment and follow all health instructions. Destination or supplier requirements related to COVID 19 are the traveler’s responsibility. Travelers unwilling or unable to comply are subject to the Standard Cancellation Policy. Atomic may exceed destination requirements in good faith to protect health and may require vaccination or testing. Travelers who cancel after such notice are subject to the Standard Cancellation Policy.
Prohibited Items
No firearms or weapons except as required by law. No illegal substances. Violations may result in dismissal at the traveler’s expense.
Standard Cancellation Policy
Notice of cancellation is accepted only from the traveler or Group Leader. The date of cancellation is when Atomic receives notice. Payments must be on time to qualify for refunds.
- 160 days or more prior to departure: Full refund less the 15 percent non refundable down payment, all non refundable fees, and a 200 USD cancellation fee.
- 149 to 110 days prior to departure: Full refund less the 15 percent non refundable down payment, all non refundable fees, and a 500 USD cancellation fee.
- 109 days or less: No refund.
Refund processing timelines
Approved refunds under Standard or Conditional policies are processed within 30 business days of written notification of eligibility. Refunds are credited to the original payment method when possible. Atomic is not responsible for delays by third party processors or banks.
No show policy
Guests who fail to appear on the day of departure without written notice at least 7 business days in advance are considered no shows. No shows are not eligible for refunds, credits, or rescheduling and are charged 100 percent plus a 500 USD no show fee.
Cancellation with Replacement
- 150 days or more prior to departure: Full refund less the 15 percent non refundable down payment and all non refundable fees.
- 149 to 110 days prior to departure: 30 percent refund less the 15 percent non refundable down payment, all non refundable fees, and a 100 USD substitution fee.
- 109 days or less: Replacements not accepted and the Standard Cancellation Policy applies.
A replacement means a canceling traveler finds a person to take their place on the same program. The replacement’s enrollment form must be submitted with the cancellation notice.
Conditional Cancellation Policy
In rare cases of unforeseen circumstances that do not fall within defined policies, Atomic may opt to allow a full or partial refund at its discretion based on the circumstances.
Group Leader Cancellations
If a Group Leader cancels, a new Group Leader will be assigned. Travelers who cancel at that point are treated as standard cancellations. If no replacement is found, affected travelers may cancel for Conditional Cancellation consideration or request placement with a new group. If no new tour is found, Atomic will refund in full.
Cancellations or Modifications Required by External Events
If a tour cannot depart or is interrupted due to events beyond Atomic’s reasonable control, travelers will receive a Future Travel Voucher for monies paid, prorated for missed portions if interrupted. Such changes are not a breach of obligations.
Payment Plan Terms and Conditions
Automatic Payment Plan
- Payment method must be direct debit from a checking account or a debit card with Visa or MasterCard logo.
- Signature, electronic signature, or verbal authorization is required. At least two months of automated payments are required unless paying in full.
- Provide a valid email and pay the 15 percent down payment before activation.
- Choose a monthly debit date between the 1st and 26th or a weekday for bi weekly debits. Debits may occur up to three days after the scheduled date due to weekends or holidays.
- Plan amounts may change if tour items or payments over 20 USD are added or removed. Smaller adjustments are reflected in the final payment.
- After the final scheduled payment, additional items are due at purchase and will not be auto deducted.
Missed payments
An 80 USD non refundable fee is assessed for each returned or declined payment and must be paid as a one time payment. Atomic may withdraw travelers from the plan after two consecutive returns or declines. If the final payment is returned or declined, the traveler has 72 hours to pay the remaining balance or the amount paid is forfeited as a non refundable cancellation by the traveler.
Late fees may still apply while enrolled. If withdrawn, accrued late fees may be charged. Plans must complete payment at least 30 days prior to departure. If your plan does not meet this, you must adjust your payments or your booking may be canceled without refund. If you do not respond to inquiries, Atomic may revise your plan to meet requirements and will notify you by email.
Reinstatement of canceled plans
To reactivate a canceled plan, a 120 USD non refundable reinstatement fee applies in addition to any accrued late fees. Reinstatement is subject to approval and may require an updated schedule.
Reinstatement of previously discounted late fees
If a prior late fee was discounted as a courtesy and you incur additional late fees for the same issue, Atomic may reinstate the original discounted fees plus any new late fees.
Paperless Billing Terms and Conditions
All travelers are enrolled in paperless billing. You will receive electronic invoices and notices to the primary contact email on your enrollment form. Atomic is not responsible for delivery delays and enrollment does not relieve your obligation to pay. Paper billing by U.S. mail is not offered. Paperless billing is provided as is to the extent permitted by law.
Other Terms and Conditions
These Booking Conditions supersede other warranties or representations unless stated in a Booking Conditions Addendum or a letter signed by an authorized officer. While we strive for accuracy, we are not responsible for typographical or printing errors including prices. Terms may change and become effective immediately. Notice will be provided for material changes. The current version in effect at the time of travel or cancellation applies.
Third-Party Vendor Services and Substitutions
Atomic acts as an intermediary between travelers and independent vendors. We do not own or control these entities and are not liable for their acts or omissions. We may substitute vendors due to availability, safety, or logistics. Substitutions will be similar or greater quality when feasible. No compensation is provided for variations beyond our control.
Disclaimer of Liability
To the maximum extent permitted by law, the released parties are not responsible for acts or omissions of carriers, hoteliers, transportation companies, or other providers, nor for loss of or damage to baggage or property, or indirect, special, or consequential damages. Nothing limits liability that cannot legally be limited including death or personal injury caused by negligence. All baggage and personal effects are at the guest’s risk. Consider baggage insurance.
Carriage by sea is subject to the Carrier’s Conditions of Carriage. The released parties are not responsible for criminal or other conduct by third parties.

Additional Risks
Additional risks may arise including hazards of transport, animals, forces of nature, differing sanitary and safety standards, diseases, difficult evacuation, acts of governments, and more. You voluntarily participate and accept all risks on behalf of yourself and your party including minors. This release binds your heirs, legal representatives, and assigns.
Safety
Where a motorcoach seat has a safety belt, no liability arises if it is not worn at the time of an accident. This does not imply liability in other circumstances.
Personal Data
Atomic will process personal data in compliance with applicable laws for enrollment, customer service, travel protection, and delivering products and services. This may include sharing with affiliates, claims handlers, insurance providers, and partners inside and outside the U.S. Atomic may use personal data and third party data to market products by email and SMS. You may unsubscribe at any time.
We keep personal data as long as necessary for the purposes collected or as required by law. For questions or to exercise rights, contact the Atomic Support team.

Atomic’s Rules of the Road and Traveler Responsibilities
Enrollment signifies agreement to Atomic’s Rules of the Road. Failure to conform to these regulations or Group Leader rules may result in dismissal at your expense with no refund.
Traveler responsibilities
- Maintain valid travel documentation.
- Comply with local laws, regulations, and advisories.
- Follow all instructions and policies communicated via the Atomic App.
- Participate in scheduled activities unless excused by the Tour Director.
- Show respect toward travelers, staff, and providers.
- Notify the Group Leader or Tour Director if ill or in an emergency.
- Be punctual for transfers and events.
- Avoid prohibited behavior in the Conduct Policy.
Behavior and Conduct Enforcement
Abusive or aggressive behavior will not be tolerated. We may terminate travel arrangements without refund and bar future trips.
Examples of not allowed behavior
- Abusive or offensive language.
- Bullying.
- Inappropriate or abusive behavior including uninvited contact, harassment, or threats.
- Excessive alcohol consumption or intoxication.
- Possession or use of restricted substances or drugs except for approved medical purposes.
- Failure to comply with reasonable directions.
- Conduct incompatible with general enjoyment or smooth operation of the trip.
- Possession or use of dangerous items such as weapons.
- Breaking local laws.
- Any conduct bringing Atomic into disrepute.
All scheduled activities are obligatory unless excused. Forms and permissions as noted in your confirmation email apply. Smoking is not allowed on buses, during meals, in hotel rooms, or in any shared enclosed space. Travelers under 18 may not consume alcohol. Travelers over 18 may consume beer or wine in moderation unless prohibited by the Group Leader or Tour Director. Illegal activities result in immediate dismissal at your expense. You are responsible for damage to hotel rooms or buses.
Decision authority
Atomic, with your Group Leader and Tour Director, may take disciplinary action. The Tour Director may issue warnings or remove travelers from activities. Atomic retains final authority to remove a traveler from the tour. There is no formal appeal on tour, though written feedback may be sent to hello@atomictrips.com for post trip review.
Hotel City Taxes
Local city taxes imposed on hotels are not included and must be paid directly to the hotel unless otherwise outlined. Amounts vary by location, hotel class, and stay length.
Adventure Tourism and Walking Expectations
Expect moderate to significant walking. Transportation between destinations may be by train or bus. If a group requests reduced walking via private cars or taxis, Atomic will try to assist. Such changes are outside the all inclusive package and are out of pocket costs for participants requesting them.
Responsibility for Unclaimed or Extra Charges
If extra charges appear on a group bill and responsibility cannot be determined, unclaimed costs may be divided evenly among group members.
Choice of Law and Venue Selection
This agreement is entered in Las Vegas, Nevada. Venue is exclusively in the courts of Nevada or the United States District Court for the District of Nevada. Nevada law governs without regard to conflicts principles. Guest claims must be submitted in writing and received within 60 days after completion of the vacation. The prevailing party in any action is entitled to reasonable attorneys’ fees, costs, and expenses.
Chargeback and Payment Authorization
By booking, the traveler agrees not to initiate chargebacks except in cases of verified fraud where the traveler can show they never booked or interacted with Atomic and a third party used their identity or payment method. Initiating a chargeback otherwise results in a non refundable 60 USD fee plus 15 USD per day while unresolved until balances are paid or the chargeback is canceled.
Arbitration Option for Dispute Resolution
Either party may elect binding arbitration in Las Vegas, Nevada under AAA rules. Judgment on the award may be entered in any court with jurisdiction. Arbitration is optional. Either party may still pursue court action as outlined in the Choice of Law and Venue section. By choosing arbitration, both parties waive jury trial.
If the traveler does not participate in the chargeback and payment authorization policy, Atomic may use legal means to ensure full compensation for refunded amounts and daily fees.

We strive to acknowledge written complaints within 5 business days and resolve disputes within 14 to 21 business days. Include your booking reference and a detailed description for faster assistance.
Release and Agreement
By enrolling in an Atomic Trips International Tour, you acknowledge the tour is operated outside the U.S. Vendors are independent contractors and not employees or agents of Atomic. You agree to release the Released Parties from claims related to participation, including negligence, breach of contract, and statutory claims, to the maximum extent permitted by law. Travel abroad involves risks and conditions that may differ from the United States. Review destination risks at cdc.gov/travel and travel.state.gov.
Your tour begins at arrival to the first Atomic hotel and ends after checkout at the last Atomic hotel. Airline liability is governed by applicable conventions and contracts of carriage. Atomic or your Group Leader may refuse or cancel registration at their discretion under the Standard Cancellation Policy. You agree to follow regulations and directions of the Group Leader, Tour Director, and Atomic staff. Violations may result in dismissal without refund and return at your expense. Local laws must be followed in all destinations.
In a medical emergency, Atomic may take actions deemed necessary for safety, including securing treatment at your expense and arranging transport. Travelers 18 or older may be subject to a criminal background check as a pre condition to travel. Refusal constitutes cancellation under the Standard Cancellation Policy.
This agreement and Atomic’s Booking Conditions constitute the entire agreement. Amendments must be in writing signed by Atomic. Nevada law governs. Venue is in Nevada courts as above. Atomic and affiliates may use film or digital likeness and comments for future publicity without compensation and may use contact information for promotions consistent with the Terms of Use and Privacy Policy.
